The Challenge and Research

Our client in Germany sells boxes of fresh fruit and vegetables every week. They do this from many pickup points. Each week, customers need to know where to collect their box. It sounds simple, but the way it ran was messy.

All orders came in through WhatsApp. Payments were taken only on site, when the customer arrived. This caused a lot of problems. Orders got cancelled at the last moment. Payments failed or were skipped. The client spent hours each week sorting chats, chasing money, and fixing mix-ups. As more customers joined, this way of working could not keep up.

We studied their full weekly cycle. We looked at how an order starts, how a customer learns their pickup point, and how money is collected. We found that the lack of one proper system was the real issue. WhatsApp was never built for this. Every step needed structure, from ordering to paying to picking up.

The Solution & Execution

We built a customer app and a strong management console to run the whole business.

Customers now order from the app in a few taps. The old hassle is gone. They can also set up subscriptions through ACH, so a regular box arrives without any repeat effort. Payments are handled up front, so failed and missing payments are no longer a worry.

For the client, the console does the heavy lifting. They manage pickup locations in a dynamic way, so points can change week to week with ease. They can export orders for quick planning and packing. They always know who ordered what and where each box should go.

Final Outcome

What used to take hours of WhatsApp messages and on-site cash handling now runs in a clear and calm flow. The client saves time every single day, and customers get a smooth experience from order to pickup.

Honestly, before we found BrainBox we were running our whole fruit and veg box business on WhatsApp, and it was a mess. Every week we had cancelled orders, payments that never came through, and so much back and forth in chats just to keep things straight. I was spending hours sorting it all out.
